Putting generative AI to work with GPTs

Getting the most out of generative AI takes more than writing prompts. While tools like OpenAI ChatGPT and Microsoft Copilot let you generate virtually any content, most of the generated output will still need a lot of editing and tweaking.

The introduction of customizable “GPTs” in OpenAI ChatGPT in November 2023 ushered in a new era of generative AI, allowing individuals and businesses to create specialized AI agents to streamline tasks and improve workflow. From helping craft LinkedIn posts to generating and updating FAQ sections and even creating an internal chatbot to answer HR questions, GPTs are transforming how we use AI in everyday operations.

Here’s a look at how GPTs can benefit your business and a few ways they’re already making an impact.

What Are GPTs?

GPTs, or Generative Pre-trained Transformers, are AI models fine-tuned to perform specific tasks by responding naturally to written prompts. Built on the foundation of advanced generative AI (like OpenAI’s ChatGPT), GPTs offer the flexibility to craft responses based on preloaded knowledge, unique business data, or custom instructions.

Most leading AI platforms offering GPT capabilities include OpenAI's ChatGPT, Microsoft’s Azure OpenAI service, and Anthropic's Claude. However, access to GPT customization often requires a paid account, as these tools need advanced AI infrastructure and offer premium features designed to cater to business needs.

While GPTs bring customization and power, they have limitations. For example, they often lack real-time data access unless explicitly connected to updated sources. These tools, especially in customer-facing applications, might lack the full contextual understanding needed to answer a question. They are also still prone to having “AI hallucinations,” where the AI tool produces inaccurate or unintended responses.

3 Examples of GPTs in Action

While there are countless ways to use GPTs, here are three that we’ve put into action.

Generating and Updating an FAQ

For companies that handle a high volume of customer inquiries, GPTs can automatically generate or update FAQ sections. For example, a GPT could be programmed with a company's product manuals, service guidelines, and everyday customer service interactions.

The GPT can then analyze these resources to answer questions or recommend updates based on the latest information. This approach ensures FAQs are up-to-date and highly relevant, allowing customer service teams to focus on more complex inquiries.

Writing LinkedIn Posts to Get the Message Across

At BitBakery, we aim to write LinkedIn posts that deliver our message clearly and inspire people to click through to our content. With our custom GPT, we’ve created a tool trained to draft LinkedIn posts that align perfectly with our brand voice and target audience.

The GPT uses industry keywords and insights from our previous posts to create LinkedIn content that captures attention and encourages engagement. Whether sharing the latest product features, highlighting industry trends, or celebrating a project's success, our GPT ensures BitBakery stays visible and compelling on social media—all while saving us time.

Providing Fast, Accurate Answers for BitBakery Employees

As a smaller shop, we want to make sure our employees get quick, accurate answers to their questions. To support this, we’ve developed a GPT-powered internal chatbot trained on our HR policies, FAQs, and procedural documents.

This chatbot gives employees reliable, on-demand access to essential information, from leave policies and benefits to workplace guidelines. The GPT even assists new hires by offering quick access to onboarding resources, making sure that everyone at BitBakery has the information they need right when they need it.

How to Create a GPT in ChatGPT

Setting up a GPT in ChatGPT is straightforward and doesn’t require coding skills, though a paid account is often necessary to access customization options. Just remember, you’ll need a paid account to create and use GPTs.

Here’s a general guide to help you get started:

1 Define Your GPT’s Purpose

The first step in creating a GPT is defining its purpose. For example, if you’re building a GPT for HR FAQs, specify that it should focus on answering common HR questions. Being clear about the GPT’s primary goal will help guide its setup and ensure it responds accurately.

2 Add Instructions and Custom Knowledge

In the setup interface, you’ll be prompted to add specific instructions. You can include information that will shape your GPT’s responses, like tone and voice preferences and even who your audience is. You can also upload documents, such as policy PDFs, manuals, or relevant text files, to serve as the knowledge base for your GPT. This knowledge base allows the GPT to pull accurate information directly from your company materials.

3 Test Your GPT

After setting up, run a few test questions to see how your GPT performs. Try questions relevant to its purpose to ensure it is pulling the correct information and responding in the right tone.

5 Launch and Monitor Your GPT

Once satisfied with your GPT’s performance, publish it for use. If it’s for internal use, share the link with team members or integrate it into your existing tools. Be sure to monitor its interactions and gather feedback to make continuous improvements.

Beyond GPTs

While GPTs can streamline many internal tasks, they’re not always ideal for customer-facing solutions, as they may require advanced customization or real-time updates that these tools don’t support natively.

This is where a more comprehensive approach to generative AI development comes in. BitBakery specializes in developing custom AI solutions that go beyond basic GPTs to meet businesses' unique needs. Our AI solutions can be fine-tuned with business-specific data and workflows, ensuring your brand is accurately represented in every interaction.

GPTs offer powerful tools for boosting productivity, but businesses that want to leverage AI for critical customer-facing applications should look toward custom generative AI solutions. BitBakery’s team can help you build AI tools with advanced features like real-time data integration, regulatory compliance, and fully customizable AI responses.
